Data Management Policy

Purpose

The purpose of this policy is to ensure the proper handling, storage, and disposal of personal data collected by Priory Pumas Football Club.

Data Collection

During registration, the club collects the following data:

  • Player (child) name, address, date of birth
  • Parent / Gaurdian (adult) name, address, date of birth

Data Retention Periods

The collected data is retained at a maximum as per the retention periods set out below. After this period all data as per the Data Disposal section.

  • Player Registration Data: 6 Years
  • Player ID Documentation: 2 Weeks

Verification Documents

For the first 7 days after a new registration, the club retains a copy of the player's passport or birth certificate. This is to confirm to the league that reasonable measures have been taken to verify the age of the player. These copies are deleted after registration or after 7 days have passed, whichever comes sooner.

Data Security

All personal data is stored securely and accessed only by authorized club personnel for the purposes outlined in this policy. All data is transfered using encrypted protocols to maintain the privacy of personal data.

Data Disposal

Personal data and verification documents are securely destroyed after their retention period has expired, ensuring that no unauthorized access can occur.

Review

This policy will be reviewed annually to ensure its effectiveness and to make any necessary updates based on feedback and changes in regulations.
